Simple Terms & Conditions

Before we book your trip, we need you to sign or click “I Agree” confirming that you accept these terms. Our Full Terms & Conditions are available upon request. By accepting, you agree to these terms for yourself and confirm that you are authorized to provide booking information for the travelers in your reservation.

1. Who We Are

First Choice Travel Agency works with Travel Planners International, Inc. and acts as a sales agent for airlines, hotels, cruise lines, tour operators, and other travel providers (“Suppliers”).

These Suppliers provide the actual travel services and are responsible for their services, schedules, cancellations, refunds, and other obligations. We’ll make reasonable efforts to help you if a problem occurs, but we cannot guarantee a Supplier’s performance, refund, credit, or financial stability.

2. Check Your Documents

Please review all tickets, confirmations, names, dates, flights, cabins, rooms, and other travel documents as soon as you receive them.

If something is incorrect, tell us immediately. Supplier penalties, fare differences, or our applicable service fees may apply to changes made after booking.

3. Health & Safety

Travel involves health and safety risks. Travelers are responsible for reviewing current health and destination information and determining whether travel is appropriate for them.

For health information, visit the CDC travel website. For international travel advisories and destination information, visit the U.S. Department of State travel website.

Government and Supplier requirements can change at any time.

4. Unexpected Events & Special Needs

We aren’t responsible for circumstances outside our control, including weather, natural disasters, illness, transportation disruptions, governmental actions, unsafe conditions, or the acts or omissions of travel Suppliers.

Please tell us as early as possible if you require wheelchair accessibility, dietary accommodations, medical equipment, or other special assistance. We’ll work with the applicable Suppliers to request accommodations, but the Supplier ultimately controls and provides those services.

5. Travel Insurance

We strongly recommend purchasing appropriate travel insurance.

Coverage varies by policy and may include trip cancellation or interruption, medical emergencies, travel delays, baggage issues, and other covered events.

We can provide information about available insurance options, but the insurance company determines coverage and whether a claim is approved. Please review the policy carefully before purchasing or declining coverage.

6. Booking & Payment

To book your trip, you may need to:

  • Accept these Terms & Conditions.

  • Pay the required deposit and applicable service fees.

  • Provide valid payment authorization.

Prices, promotions, cabins, rooms, flights, and availability are not guaranteed until confirmed by the Supplier.

Supplier terms and conditions also apply to your reservation and may include additional payment, change, cancellation, and refund rules.

7. Price Changes & Promotions

Travel prices and promotions can change at any time.

When permitted by the Supplier, First Choice Travel Agency may monitor eligible reservations and attempt to obtain a better eligible price or promotion. This is a complimentary service and is not guaranteed.

A lower advertised price does not necessarily mean your existing reservation can be changed. Repricing can sometimes affect onboard credits, amenities, deposits, cancellation terms, cabin assignments, packages, or other benefits.

8. Required Travel Documents

You are responsible for having the correct documents for your trip, including passports, visas, travel authorizations, REAL ID-compliant or other acceptable identification, and any other documents required by governments or Suppliers.

Make sure the name on your reservation matches your identification.

Some destinations require passports to remain valid for a specific period beyond your travel dates. Non-U.S. citizens and minors may have additional requirements.

Failure to have the proper documents can result in denied boarding or denied entry and may result in the loss of your travel investment.

9. Our Service Fees

In addition to Supplier charges, First Choice Travel Agency may charge non-refundable professional service fees, including:

  • Trip Planning / Research: Starting at $100

  • Cancellation: Up to 10% of total booking value

  • Changes: Starting at $25

  • Air Transactions: $0–$50

  • Hotel Transactions: Up to $50 per room, per night

  • Car Rentals: Up to $50

  • Unaccompanied Minor Ticketing: Up to $75

  • Airline Ticket Changes: $25–$100 per ticket

  • Rebooking Using Travel Credits: Up to $100

  • Assistance Pursuing Supplier Refunds: Up to $100

Our fees are separate from any penalties or fees charged by the Supplier.

10. Credit Cards & Payment Disputes

We recommend using a credit card for travel purchases when appropriate because credit cards may provide additional consumer protections.

If you have a payment or refund problem involving a Supplier, please contact us first. We’ll make reasonable efforts to help resolve the issue.

Your rights and responsibilities regarding credit-card disputes remain subject to applicable law, the Supplier’s terms, and your card issuer’s agreement.

11. Changes, Cancellations & Refunds

Changes and cancellations are subject to Supplier rules, deadlines, availability, and penalties.

Supplier refunds and future travel credits are controlled by the Supplier. We cannot guarantee the amount, timing, form, expiration date, or availability of a Supplier refund or credit.

Our professional service fees are separate from Supplier charges and are generally non-refundable once the applicable service has been performed.

12. Claims & Legal Terms

Please notify us of any claim relating to our services as soon as reasonably possible and, whenever practicable, within 30 days after your trip.

To the fullest extent permitted by law, legal actions relating to our services must be filed within one year and disputes against First Choice Travel Agency will be handled in a court of competent jurisdiction in Brevard County, Florida.

Your Agreement

By signing or clicking “I Agree,” you confirm that you have read and accept these Simple Terms & Conditions and agree to our Full Terms & Conditions.

You also understand that travel Suppliers have their own terms, cancellation policies, passenger contracts, and other conditions that may apply to your reservation.

TERMS & CONDITIONS

First Choice Travel Agency is pleased to assist you with your travel arrangements. These Terms & Conditions (the “Agreement”) describe the respective rights and responsibilities of First Choice Travel Agency, its host agency Travel Planners International, Inc., and you, the traveler.

For purposes of this Agreement, “First Choice Travel Agency,” “we,” “us,” and “our” refer to First Choice Travel Agency, except where Travel Planners International, Inc. is specifically identified. “You,” “traveler,” and “client” refer to the individual accepting this Agreement and, where applicable, the travelers included in the reservation.

By authorizing us to make travel arrangements on your behalf, submitting payment, or accepting these Terms & Conditions, you acknowledge that you have read, understood, and agreed to the following.

1. AGENCY RELATIONSHIP & TRAVEL SUPPLIERS

First Choice Travel Agency and, where applicable, Travel Planners International, Inc. act as sales agents for airlines, cruise lines, hotels, resorts, tour operators, transportation companies, car-rental companies, travel insurance companies, and other independent travel service providers (“Suppliers”).

Travel services are provided by independent Suppliers and not by First Choice Travel Agency.

We are not responsible for the acts, omissions, errors, schedule changes, cancellations, delays, financial default, bankruptcy, failure to provide services or refunds, failure to honor future travel credits, or other actions of a Supplier.

If a Supplier fails to provide services for which payment has been made, recovery may be available from the Supplier, applicable travel insurance, your credit-card issuer where permitted by law, or other responsible parties.

We do not have special knowledge regarding the financial condition of Suppliers and cannot guarantee their future financial performance.

We will, however, make reasonable efforts to assist our clients in communicating with Suppliers and pursuing available refunds, credits, or other resolutions.

2. REVIEW YOUR TRAVEL DOCUMENTS

You are responsible for reviewing all invoices, confirmations, tickets, names, dates, itineraries, cabin or room assignments, flights, and other travel documents immediately upon receipt.

Notify First Choice Travel Agency promptly if you discover an error or discrepancy.

Supplier penalties, fare differences, or other costs may apply if corrections or changes are requested after a reservation or ticket has been issued.

Some airline tickets may display a bulk, negotiated, or other fare amount that differs from the amount paid for the complete travel arrangement.

3. HEALTH, SAFETY & TRAVEL RISKS

Travel involves inherent risks, including illness, communicable diseases, accidents, weather events, natural disasters, political or civil disturbances, terrorism, transportation disruptions, and other circumstances outside our control.

Travelers are responsible for reviewing current health, safety, entry, and destination information before and during travel.

For international travel information, travelers should consult the U.S. Department of State and appropriate destination authorities.

For health information, travelers should consult the Centers for Disease Control and Prevention (CDC), their healthcare provider, and other appropriate health authorities.

Government and Supplier requirements may change at any time, including requirements relating to health documentation, vaccinations, testing, identification, or entry.

First Choice Travel Agency is not responsible for a traveler's failure to satisfy governmental or Supplier requirements.

4. SPECIAL NEEDS & ACCESSIBILITY

Travelers requiring mobility assistance, accessible accommodations, dietary accommodations, medical equipment, or other special services should notify First Choice Travel Agency as early as possible.

We will make reasonable efforts to communicate requested accommodations to Suppliers.

However, accessibility and accommodation services are ultimately controlled and provided by the applicable Supplier. We cannot guarantee that a destination, vessel, aircraft, hotel, excursion, transportation provider, or other travel service will satisfy a traveler's individual accessibility or medical needs.

Travelers are responsible for determining whether the travel arrangements are appropriate for their individual circumstances.

5. ASSUMPTION OF TRAVEL RISKS

First Choice Travel Agency is not responsible for events or circumstances outside its reasonable control, including acts or omissions of Suppliers, governmental actions, weather, natural disasters, labor disputes, mechanical failures, civil unrest, terrorism, epidemics, pandemics, illness, transportation disruptions, or other force-majeure events.

To the fullest extent permitted by applicable law, you acknowledge and voluntarily assume the ordinary and inherent risks associated with travel and agree that First Choice Travel Agency shall not be liable for damages resulting from circumstances outside its reasonable control.

Nothing in this Agreement is intended to waive rights that cannot legally be waived under applicable law.

6. TRAVEL INSURANCE

We strongly recommend purchasing appropriate travel insurance.

Travel insurance may provide coverage for circumstances such as trip cancellation or interruption, medical emergencies, emergency evacuation, baggage loss or delay, travel delays, and certain Supplier defaults, depending upon the specific policy purchased.

Coverage, exclusions, limitations, and eligibility requirements vary significantly between policies.

First Choice Travel Agency is not an insurance company and does not determine whether a particular claim will be covered.

Any description or discussion of insurance by First Choice Travel Agency is provided for general informational purposes and does not constitute a guarantee of coverage.

The insurance policy and the insurance company's interpretation of that policy control all coverage decisions.

You are responsible for reviewing the policy and determining whether the coverage is appropriate for your needs.

If you decline travel insurance, you accept responsibility for financial losses that otherwise might have been covered by insurance.

7. BOOKING & PAYMENT AUTHORIZATION

A reservation may require:

  • Acceptance of these Terms & Conditions;

  • Payment of the applicable Supplier deposit or fare;

  • Payment of any applicable First Choice Travel Agency professional service fees; and

  • Valid payment authorization.

By providing payment information and authorizing a transaction, you authorize First Choice Travel Agency and/or the applicable Supplier to process the specifically authorized travel payment.

Submitting payment information does not guarantee a reservation, fare, cabin, room, flight, promotion, or other travel service until the applicable Supplier issues confirmation.

Prices and availability may change before confirmation.

If additional payment becomes necessary because of a fare change, Supplier-imposed charge, requested modification, or other adjustment, First Choice Travel Agency may request additional authorization from you before processing the charge unless the charge is imposed directly by the Supplier pursuant to the Supplier's terms.

We are not responsible for declined transactions, payment-processing delays, incorrect billing information, fraud alerts, card restrictions, or changes in price or availability occurring while payment authorization is being obtained or verified.

Supplier terms and conditions also apply to your reservation and may include additional payment, cancellation, modification, refund, and other requirements.

8. PRICE CHANGES, PROMOTIONS & PRICE MONITORING

Travel prices, promotions, availability, amenities, and Supplier incentives may change at any time.

A lower advertised price after booking does not automatically entitle a traveler to a refund, credit, or adjustment.

When permitted by the Supplier, First Choice Travel Agency may attempt to obtain a more favorable eligible price or promotion for an existing reservation.

As a complimentary client service, First Choice Travel Agency may monitor certain eligible reservations for lower Supplier pricing or promotional opportunities. Price monitoring is not guaranteed and may not be available for every reservation.

Not all fares, promotions, casino offers, group rates, contracted rates, loyalty offers, packages, or reservations are eligible for repricing.

Changing an existing reservation to obtain a different price or promotion may affect deposits, cancellation terms, cabin or room assignments, onboard credits, amenities, packages, loyalty benefits, payment deadlines, or other components of the reservation.

We will use reasonable efforts to preserve the overall value of the reservation but cannot guarantee that every subsequent promotion will be available or advantageous.

9. PASSPORTS, IDENTIFICATION, VISAS & ENTRY REQUIREMENTS

Travelers are responsible for obtaining and carrying all identification and travel documents required for their trip.

Depending upon the itinerary, these may include:

  • Passport;

  • Visa or electronic travel authorization;

  • REAL ID-compliant or other acceptable identification;

  • Birth certificate;

  • Parental or guardian consent documentation;

  • Health documentation; and

  • Any other documents required by governments or Suppliers.

Names and other identifying information on reservations must match the traveler's required identification.

Many countries impose passport-validity requirements beyond the dates of travel. Travelers are responsible for verifying the requirements of every destination and transit country.

Non-U.S. citizens may have different entry, transit, and visa requirements.

Minors may be subject to additional documentation requirements, particularly when traveling without both parents or legal guardians.

Travelers with past or current criminal matters are responsible for determining whether those matters affect their eligibility to enter or transit through a destination.

First Choice Travel Agency cannot provide legal advice regarding admissibility.

Failure to possess required documentation may result in denied boarding, denied entry, delays, missed travel arrangements, cancellation penalties, or other losses. First Choice Travel Agency is not responsible for losses resulting from insufficient or improper documentation.

10. PROFESSIONAL SERVICE FEES

In addition to Supplier charges, First Choice Travel Agency may charge professional service fees for services performed on behalf of the client.

Unless otherwise stated in writing, First Choice Travel Agency professional service fees are separate from Supplier charges and are non-refundable once the applicable service has been performed.

Potential professional service fees include:

  • Research / Planning: Starting at $100

  • Cancellation: Up to 10% of the total booking value

  • Reservation Changes: Starting at $25

  • Air Transaction — Domestic or International: $0–$50

  • Hotel Transaction: Up to $50 per room, per night

  • Car Rental Transaction: Up to $50

  • Unaccompanied Minor Ticketing: Up to $75

  • Airline Ticket Changes After Booking: $25–$100 per ticket

  • Rebooking Using Future Travel Credits: Up to $100

  • Assistance Pursuing Supplier Refunds: Up to $100

The exact fee, when applicable, may depend upon the complexity and amount of work required.

Any First Choice Travel Agency cancellation fee is separate from cancellation penalties, non-refundable deposits, or other charges imposed by a Supplier.

For purposes of a percentage-based cancellation fee, “total booking value” means the total price of the travel arrangements being cancelled for which First Choice Travel Agency provided booking or servicing assistance.

When reasonably practicable, applicable professional service fees will be disclosed before the requested service is performed.

11. CHANGES & CANCELLATIONS

Changes and cancellations are subject to Supplier rules, availability, deadlines, and penalties.

You are responsible for all Supplier-imposed cancellation penalties, change fees, fare differences, and non-refundable amounts, in addition to any applicable First Choice Travel Agency professional service fee.

A request to cancel or modify travel is not considered completed until First Choice Travel Agency and/or the applicable Supplier has processed or confirmed the request.

Clients should not assume a reservation has been cancelled or modified until confirmation has been received.

12. CREDIT CARD RIGHTS & PAYMENT DISPUTES

We recommend using a credit card for travel purchases when appropriate because credit-card users may have protections available under applicable federal or state law and the card issuer's agreement.

If you have a payment dispute involving a Supplier, we encourage you to contact First Choice Travel Agency promptly so that we may attempt to assist with resolving the matter directly with the Supplier.

Where First Choice Travel Agency or Travel Planners International processes payment as merchant or intermediary for travel services ultimately provided by a Supplier, the respective rights and obligations of the traveler, agency, Supplier, and card issuer remain subject to applicable law and the relevant payment agreements.

Nothing in this Agreement is intended to waive any consumer right that cannot legally be waived.

13. SUPPLIER REFUNDS & FUTURE TRAVEL CREDITS

Supplier refunds and future travel credits are controlled by the applicable Supplier.

First Choice Travel Agency cannot guarantee the amount, form, timing, expiration date, transferability, or availability of a Supplier refund or future travel credit.

When requested, we will make reasonable efforts to assist clients with eligible Supplier refunds and credits.

Professional service fees previously earned by First Choice Travel Agency are generally non-refundable even if a Supplier subsequently issues a refund or credit.

14. CLAIMS & DISPUTES

You agree to notify First Choice Travel Agency of any claim relating to our services as soon as reasonably possible and, whenever practicable, within 30 days after completion of the applicable trip.

To the fullest extent permitted by applicable law, any legal action against First Choice Travel Agency arising from our services must be commenced within one year of the event giving rise to the claim.

To the fullest extent permitted by applicable law, disputes or claims against First Choice Travel Agency shall be governed by applicable Florida law and brought in a court of competent jurisdiction located in Brevard County, Florida.

Nothing in this provision is intended to shorten a limitations period or restrict a legal right where such restriction is prohibited by applicable law.

15. ELECTRONIC COMMUNICATIONS

You authorize First Choice Travel Agency to communicate with you electronically regarding your travel arrangements, including by email, text message, electronic forms, client portals, or other electronic means you provide or use in connection with your reservation.

You are responsible for providing accurate contact information and monitoring communications relating to your travel arrangements.

Time-sensitive Supplier notices, payment deadlines, itinerary changes, or other important travel information may be communicated electronically.

16. CLIENT INFORMATION

You are responsible for providing complete and accurate traveler information.

First Choice Travel Agency is not responsible for losses resulting from incorrect names, birth dates, contact information, passport information, loyalty numbers, payment information, or other information supplied by you or another traveler in your party.

You are responsible for obtaining permission before providing personal information on behalf of another traveler.

17. SEVERABILITY

If any provision of this Agreement is determined to be invalid or unenforceable, the remaining provisions shall remain in effect to the fullest extent permitted by law.

18. ENTIRE AGREEMENT

These Terms & Conditions apply in addition to the terms and conditions imposed by the applicable Suppliers.

If a Supplier's terms conflict with these Terms & Conditions regarding a service provided by that Supplier, the Supplier's terms will control with respect to that Supplier's service.

No verbal statement by First Choice Travel Agency modifies these Terms & Conditions unless confirmed in writing by an authorized representative of First Choice Travel Agency.

ACKNOWLEDGMENT

By accepting these Terms & Conditions, requesting that First Choice Travel Agency make or service travel arrangements on your behalf, and/or authorizing payment, you acknowledge that you have read and understand this Agreement and agree to be bound by its terms.

You further acknowledge that travel Suppliers maintain their own terms, conditions, cancellation policies, and passenger contracts that may also apply to your reservation.
